ARCHERY CLUB INC.
CONSTITUTION

1.1
The name of the club shall be, Woody Archery Club Inc.
2.1 The objectives of the Woody
Archery Club Inc. are;
2.1.1 The
promotion and education in the sport of Archery to people aged 10
years and older.
2.1.2 To
adopt and follow the policies, rules and safety procedures of the
Archery Society of Western Australia and Archery Australia.
2.1.3 To
maintain complete and accurate records of all club activities.
2.1.4 To
promote a safe and fun environment.
2.1.5 To
encourage the members of the club to participate in events under
the control of Archery Society of Western Australia Inc. or
Archery Australia as well as any event promoted by either of
these two groups.
3.1 The club will be a non-profit
club.
3.2 The property
and income of the club shall be applied solely towards the
promotion of the sport of Archery, and no part of that property
or income may be paid or otherwise distributed, directly or
indirectly, to members of the club, except in good faith in
promotion of the objects of the club.
4.1
Membership of the club is open to people aged 10 years and older,
who can understand and demonstrate competency in abiding by the
safety rules and practices of the club and have paid the
prescribed fee.
4.2
Provision will be made for people who are not members of the club
to receive instruction in the sport of Archery with suitably
qualified coaches, appropriate insurance and established
procedures. These people are known as Beginner
Archers.
5.1 There
will be two types of members; (1) Shooting Members and (2) Social
Members
5.1.1 Shooting Members are those
members who actively participate in shooting events conducted by
the club or conducted under the control of the Archery Society of
Western Australia Inc and/or Archery Australia. All shooting
members will be affiliated with the Archery Society of Western
Australia Inc.
5.1.2 Social
Members are members of the club who do not participate as Archers
in shooting events however have an interest in contributing
toward the objectives of the club. Social members may be parents
or friends of shooting members.
5.2 A member of
the club cannot hold membership in another club without the
permission of the management committee.
6
Visiting Archers
6.1 Visiting
Archers are financial members of other Archery clubs who
participate in activities under the control of the club.
6.2 Visiting
Archers shall be entitled to participate in club activities at
the discretion of the Management Committee and after the Visiting
Archer pays the prescribed target fee.
6.3
Visiting Archers will be expected to wear the uniform of their
club at all events under the control of the club.
6.4 Visiting
Archers will be subject to the constitution and any bylaws of the
club as if they were a member of this club, while they are
participating in club activities.
7.1 Any
persons membership may be terminated by;
7.1.1 The member resigning from the
club; or
7.1.2 The club
terminating the persons membership and their name is
removed from the list of members; or
7.1.3 A
members annual membership fee remains unpaid after 1 month
of falling due.
7.2 A member
who joins another club is deemed to have resigned their
membership of this club. No refund of fees is made nor shall this
person have any claim, monetary or otherwise, upon the club, its
funds or assets.
8.1 The
Management Committee shall have the power to immediately
terminate the participation of, or suspend or expel any member of
the club or any Beginner Archer or any Visiting Archer, in the
activities of the club for;
8.1.1 Unsafe behavior that puts at
risk the safety of any club member, beginner archer, visiting
archer, spectator or any person, at any club activity, inter-club
event or any event promoted by the club or;
8.1.2 False or
inaccurate statements made in the persons application for
membership or score sheets or other paperwork or;
8.1.3 Breach of
any rule, regulation or by-law, of the club, the Archery Society
of Western Australia Inc. or Archery Australia or;
8.1.4 By any act
at any time and any location upsetting or detrimental to existing
club members or;
8.1.5 By any act
at any time and any location in breech of any of the objectives
of the club.
8.2 Suspension is a temporary
discipline where the person can no longer participate in club
activities for a period of time determined by the Management
Committee of the club. The person remains a member of the club.
8.3 Expulsion is
a permanent discipline where the person has their membership of
the club terminated and their name removed from the list of
members. No refund of fees is made.
8.4 The person
subject to club discipline must be given fair warning that their
membership and/or participation in a club activity may be
immediately terminated unless they change their behavior or stop
what is upsetting the other club members. Fair warning shall be
recorded in writing and a copy kept by the club.
8.5
Any member who is suspended or expelled, shall have the right to
appeal against their suspension or expulsion by presenting their
case to a Special General Meeting of the club called for such
purpose. Voting will be by secret ballot. The decision of the
Special General Meeting shall be final. From the time the member
appeals the decision until the time a decision is made at the
Special General Meeting, the member has their membership
suspended.
8.6 A person
who, for any reason whatever, ceases to be a member of the club
shall not have any claim, monetary or otherwise, upon the club,
its funds or assets.
9.1 The club
shall appoint people to the following office bearing positions;
President, Secretary, Treasurer and Recorder. The people holding
these positions shall be known collectively as the Management
Committee. These people will be elected at the Annual General
Meeting and hold these positions for a period of one year and be
eligible for re-election for the following year. All people
nominating to hold any of these four offices on the Management
Committee will be over 18 years of age and be financial members
of the club. No person will hold any more than two of these four
offices at one time.
9.2 The
Management Committee may co-opt other people onto the Management
Committee to perform other roles within the club from time to
time. These people will hold their position on the Management
Committee for a period of one year and will be eligible to be
re-appointed by the Management Committee for the following year.
9.3 If a casual vacancy arises
amongst the office of either President, Secretary, Treasurer or
Recorder during the year, the members of the Management Committee
may appoint a member of the club to fill the vacancy until the
next Annual General Meeting.
9.4 The Secretary
of the club shall be responsible for maintaining all membership
records of the club and for the appropriate custody of records.
10 Meetings
10.1 General
Meetings of the club shall be held regularly at a time and a
place fixed by the Management Committee. All financial
members of the club shall be entitled to vote. Motions shall be
passed by a simple majority of the members present at the
meeting. The quorum shall be 5 adult members.
10.2 Special
General Meetings can be called at any time by the Management
Committee or by 5 adult members of the club. The meeting shall be
confined to one motion. The motion is to be circulated to all
members of the club 30 days prior to the meeting. Motions shall
be passed by a simple majority of the members present at the
meeting. The quorum shall be 5 adult members.
10.3 An
Annual General Meeting will be held in July of each year.
10.4
Motions to alter this constitution shall be made to an Annual
General Meeting or to a Special General Meeting after giving 30
days notice of the proposed changes to all members.
11 Bylaws
11.1 Bylaws can
be made, modified, removed or added to, at any General Meeting or
Annual General Meeting, without having to change the
Constitution. The motion to make, modify, remove or add to
existing bylaws can only be moved by a member of the management
committee. A simple majority is needed to pass such a motion.
11.2 Any bylaws
that are made must be recorded in the minutes of that General
Meeting. The bylaw is to be copied to the secretarys copy
of club bylaws, noting the date the bylaw was made and kept
together with the Constitution.
12.1 A club
member may at any reasonable time, after giving reasonable
warning, inspect, without charge, the books, documents, computer
files, records and securities of the club.
13 Fee Structure
13.1 All club fees will be kept to a
minimum to ensure that all families can afford to be members of
the Woody Archery Club Inc
13.2 Club
Membership and Affiliation fees to the Archery Society of Western
Australia Inc. are due when joining the club and on the 1st
January each year and are to be levied on a pro rata basis.
13.3 All club
fees will be set by the Management Committee prior to January 1
each year after taking into consideration the expected
affiliation fees to be levied on members of the club by the
Archery Society of Western Australia Inc.
13.4 The
Management Committee will set a target fee from time to time.
This fee is due each time before a member participates in a club
event.

14 Dissolution
14.1
The Woody Archery Club Inc may be dissolved or wound up by a
resolution passed by a 75% majority of all club members entitled
to vote at a Special General Meeting called for such purpose.
14.2
If upon the dissolution or winding up of the club there remains,
after the satisfaction of all its debts and liabilities, any
property whatsoever, the same shall not be paid to, transferred
or distributed amongst the members of the club. It shall be paid
or transferred to the Archery Society of Western Australia or a
charitable organization or an incorporated nonprofit organization
having similar objectives to Woody Archery Club Inc, as decided
by the members at the Special General Meeting at which it is
decided to wind up the club.

BL1.1 President
1.1.1 Chairs all
meetings of the club

state and national tournaments under the control of the Archery
Society of Western Australia or Archery Australia to members of
the club
BL1.2 Secretary
1.2.1 Keeps and
maintains all records of the club in appropriate custody.
1.2.2 Keeps and
maintains a list of all members of the club.
1.2.3 Keeps and
maintains a list of all members who hold an office in the club.
1.2.4 Together
with the treasurer, maintains a book for all shooting members to
sign before participating in any events held by the club and
collects any fee.
1.2.5 Administers
the temporary player forms on behalf of the Archery
Society of Western Australia and Archery Australia.
1.2.6 Organizes
the end of year function and purchase of end of year trophies.
BL1.3 Treasurer
1.3.1 Maintains
all financial records of the club.
1.3.2 Together
with the Secretary, maintains a book for all shooting members to
sign before participating in any events held by the club and
collects any fee.
1.3.3 Prepares a
financial statement for each general meeting.
1.3.4 Arranges
for the appropriate auditing of the finances of the club, if
requested by club members, to be presented at the Annual General
Meeting of the club.
BL1.4 Recorder
1.4.1 Maintains a
list of the shooting performance and classification of all
shooting members of the club.
1.4.2 Maintains a
record of the performance of all beginner archers.
1.4.3 Together
with the club President, Issues certificates and medallions as
appropriate.
1.4.4 Liaise with
the state recorder of the Archery Society of Western Australia as
appropriate.
BL2.1 All members of the club will be expected to attend the Annual General Meeting, General Meetings and Special General Meeting when such meetings are called.
BL2.2 All members of the club will be expected to help with the setting up and clearing away of club equipment before and after a shoot, and contribute to the smooth running of the club in other ways.
BL2.3 All members
of the club will be expected to wear the uniform of the club at
all club events, inter-club events and competitions run under the
control of the club or another club unless that member is
entitled to wear the uniform of this state or country. Any
member, not wearing the complete and correct club uniform can be
denied participation in club or inter-club activities.
BL3 Club Uniform
BL3.1 The
Club Uniform of the Woody Archery Club Inc. is;
3.1.1 Either
the club track suit and the Green club polo shirt with the logo
of the club on the front or;
3.1.2 Black
pants, black shorts or black skirt and Green club polo shirt with
the logo of the club on the front; and
3.1.3 Closed-in
shoes.
BL3.2 Black
jeans or black track-suit pants cannot be worn as part of the
club uniform.
BL5.2 The club will elect a Tournament Director at the Annual General Meeting who will design and run the monthly tournaments in consultation with the club Recorder.
BL5.3 The yearly competition will allow for bow type and age have two components; (1) Aggregate Score and (2) Tournament Point Score awarded to the winners of each section.
BL5.4 The club will award trophies to;
5.4.1 the archer
with the highest aggregate score, and
5.4.2 the archer
with the highest tournament point score.
BL5.5 All competing archers will be grouped on the same target according to ability, at the discretion of the Tournament Director, regardless of bow type, age or gender.
BL5.7 Coaching of club members is permitted on club tournament days provided such coaching conforms to FITA or Archery Australia rules.
BL6.1 The
following officers of the club will be elected at the Annual
General Meeting and hold their position for a period of one year
and be eligible for re-election for the following year;
BL6.2 Club Judge
6.2.1 All club
members, regardless of the number of roles held in the club, who
are accredited by Archery Australia as a judge are entitled to be
recognized as a judge of the club.
6.2.2 The Annual
General Meeting may elect one of the people accredited as a judge
as the Senior Club Judge.
6.2.3 Persons who
are not accredited as a judge by Archery Australia can only
perform the duties of a judge under the specific and detailed
direction of an accredited judge.
BL6.3 Club Coach,
6.3.1 All club
members, regardless of the number of roles held in the club, who
are accredited by Archery Australia as a club coach are entitled
to be recognized as a coach of the club.
6.3.2 The Annual
General Meeting may elect one of the people accredited as a club
coach as the Senior Club Coach.
6.3.3 Persons who
are not accredited as a club coach, or holding a higher coaching
qualification accredited by Archery Australia, can only coach
others in the sport of Archery under the specific and detailed
direction of an accredited club coach or a person holding a
higher coaching qualification accredited by Archery Australia.

BL7 Signatories of Club Accounts
BL7.1 The club
will appoint two signatories to operate all club accounts,
BL7.2 The
signatories shall be the President and the Secretary
BL7.3 Only one
signature is needed to operate the accounts
BL8.1 All members
of the management committee, including co-opted members, are to
have a valid Working With Children Check. The checks are to be
repeated every three years.
BL8.2 The
Management Committee may require an individual member to have a
valid Working With Children Check.
BL9.1 The system
of signals for controlling the shooting shall be known as
Club Signaling. Only one person shall be appointed
the Director of Shooting (DOS) at a time. All people appointed
DOS will be senior club members. All club members shall be behind
the waiting line at all times, unless directed by the DOS.
BL9.2 The DOS
will give;
9.2.1 Two (2)
whistle blasts, to signal walking up to the shooting line and
wait.
9.2.2, One (1)
whistle blast to signal it is safe to commence shooting.
9.2.3 Three (3)
whistle blasts to signal it is safe to proceed to the targets for
scoring.
9.2.4 Four (4) or more whistle blasts indicate there is some
potentially dangerous situation; all shooting is to cease
immediately.
BL9.3 When
members return from scoring they shall return to behind the
waiting line and wait for the signal to commence shooting, or
other directions as appropriate.
BL9.4 On club
tournament days, the time allowed to shoot will be timed.
BL10.1 The club
will run two shooting lines. One of the lines is for the short
ranges the other is for the longer ranges. The Management
Committee may set up more shooting lines to accommodate other
disciplines as appropriate. Each line is to be under separate
control.
BL10.2 The club
will run one shooting line for tournament events.
BL11 Membership
BL11.1 All
persons wishing to become members of the club will need to be
nominated by two financial club members before being voted in, at
a special meeting, which can be called at any time by the current
President. A simple majority vote of the members present at the
meeting is needed before being invited to join.
